A5.2.1 Document intake

Document intake pulls documents into Vertibid automatically, so that files your customers and partners send become tenders, framework profiles or quotes without anyone uploading them. Open it from Settings > Integrations in the left navigation, then select Document intake in the category list. As the page says: "New files become tenders, framework profiles or quotes and start extraction on their own."

Two connectors are offered, each on its own card.

Email drop

Forwards documents to a Vertibid email address. Attachments from senders you allow become tenders, frameworks or quotes.

  • Toggle — at the top right of the card, turns the email drop on or off.

  • Last poll — when Vertibid last checked the address for new mail, for example "Last poll 9 Sept 2026, 16:39".

  • Configure — opens the email drop settings: the address and the allowed senders.

SFTP folder

Connects to a partner SFTP server with stored credentials and pulls new files from a folder.

  • Connection stateNot connected until the connector is set up.

  • Connect — opens the SFTP settings.

To set up the email drop

Before you begin

  • You have decided which senders' attachments should be accepted.

Procedure

  1. In the left navigation, select Settings > Integrations.

  2. In the category list, select Document intake.

  3. On the Email drop card, select Configure.

  4. Note the Vertibid email address and add the senders you allow.

  5. Turn the card's toggle on.

Give the address to the senders as an extra recipient. When a document arrives, it appears as a new tender, framework or quote with its lines extracted, and Last poll on the card updates.

To connect an SFTP folder

Before you begin

  • You have the partner SFTP server's address, credentials and the folder to watch.

Procedure

  1. In the left navigation, select Settings > Integrations.

  2. In the category list, select Document intake.

  3. On the SFTP folder card, select Connect.

  4. Enter the server details and credentials, and save.

The card's state changes from Not connected, and new files placed in the folder are pulled in.
