A tender moves through a fixed sequence of stages from upload to outcome. The stage is shown on the tender's row on the Tenders page and on the tender itself.
Processing stages
After you upload a tender, Vertibid processes it through these stages without further action from you, except at the sheet-review gate.
|
Stage |
What is happening |
|---|---|
|
Uploaded |
The bill of quantities and any supporting documents are stored. |
|
Parsing, Parsed |
Vertibid reads the documents. |
|
Extracting |
The line items are extracted as requirements. |
|
Extracted |
The tender pauses at the sheet-review gate so you can group similar line items before matching. See B3.4 The sheet-review gate. |
|
Matching |
Each requirement is matched against your product catalog. |
|
Completed |
Matching has finished and the tender is ready for review. |
|
Failed |
A problem stopped processing. Failed can follow any stage. |
Working stages
Once a tender is Completed, you review the matches and fill the response workbook; see B3.3 Working a tender. You submit the filled workbook to the tender issuer outside Vertibid, then record the outcome.

Stage |
What it means |
|---|---|
|
Bidding |
The bid is being worked. |
|
In review |
The filled workbook has left Vertibid and the issuer is deciding. |
|
Won |
The issuer accepted the bid. A won framework bid graduates into an approved framework. |
|
Lost |
The issuer declined the bid. |
Neither Won nor Lost archives the tender; archiving is a separate action.
A council's bill of quantities uploaded on Monday morning reads Extracted within minutes; after you group its line items and start matching it is Completed by mid-morning. You review the matches over the day, fill the workbook on Tuesday and submit it. The bid sits at In review until the council announces, when you mark it Won.
