C3.2 Setting the pricing engine

The Quote template editor sets how quotes made from a template price and print. Open it with Edit on a quote template's card, or with New quote template, on Quotes > Templates. As the editor says of itself, it "stamps the pricing method on every quote created from this template. Fixed for the life of the quote."

The settings are in cards down the left, described below in the order they appear. On the right, a Live preview shows a sample quote grid with the columns #, Item, Manufacturer, Catalogue reference, Qty and Subtotal, the tabs a quote from this template gets, and its send bundle. Save template and Discard are at the top right.

Basics

  • Name — the template's name, shown on its card and in the New quote dialog.

  • Description — optional.

Pricing engine

  • MethodMargin or Markup. Discount off list is shown but not yet available. Default: Markup.

  • Profitability layer — "Shows cost columns, GP and GP% in the quote grid." Default: off.

  • Waterfall costing — "Activates FX → Ex-works → Freight → C&F → Landed chain. Forces profitability on." Default: off.

Columns

Visibility defaults for the quote grid; a user can change them on an individual quote. The # column is always shown and always first.

  • Legend — when on, adds the consultant's schedule code (for example L1, EM3), which travels with the line when it is reordered.

Outputs

Which documents a quote produces. Outputs can be added to a template after quotes exist; the quotation layout cannot be changed once a quote exists.

  • Quote sheet — always produced, through the PDF quotation template named here.

  • Compliance statement — when on, quotes carry a Compliance Statement tab and document.

  • Technical submittal — when on, quotes carry a Submittal tab and document.

Compliance columns

When the compliance statement is on, orders its columns. The tab, the PDF and the workbook follow this order.

Sections

What appears on the quotation document and in the builder.

  • Cover message — when on, prints a cover letter block at the top of the quotation. A Cover message library holds plain-text paragraphs; the builder's Cover note field offers them.

  • Agent approval — when on, prints a signature block. Signature prefill fills the signature line with a name; leave it blank for the sender to sign by hand.

  • Terms & conditions — when on, prints a terms block at the foot of the document, from Terms text.

Defaults

Stamped on every quote created from the template. Changing a default does not alter quotes that already exist.

  • Currency, VAT rate (%), Validity, Payment terms, Delivery.

To create a quote template

Before you begin

  • You have decided the pricing method. It cannot be changed on quotes created from the template.

  • A document template exists for the quotation layout; see C3.4.

Procedure

  1. In the left navigation, select Quotes > Templates.

  2. Select New quote template.

  3. Under Basics, enter a Name and, if useful, a Description.

  4. Under Pricing engine, select the Method, and turn Profitability layer and Waterfall costing on or off.

  5. Under Outputs, select the PDF quotation layout and turn on any extra documents.

  6. Under Sections, turn on the blocks to print and complete their text.

  7. Under Defaults, enter the Currency, VAT rate (%), Validity, Payment terms and Delivery.

  8. Select Save template. To abandon the changes, select Discard.

The template appears as a card in the quote templates gallery at v1, and in the Quote template list of the New quote dialog. A quote started from it shows the template's name in its header and its defaults under Dates & terms.

A template for UK merchants: Markup, profitability off, Currency GBP, VAT rate 20, Validity "30 days", Payment terms "30 days from invoice", Delivery "Ex works", Terms & conditions on. Its card reads Markup · Profitability off · GBP.
