C2.2 Starting a new quote

The New quote dialog creates a quote, with or without a customer document. Open it with + New quote at the top right of the Quotes page. The dialog has two steps, shown as a stepper: 1 Upload, 2 Details & template.

The quote template chosen in step 2 fixes the quote's pricing method for life; see C3.2 Setting the pricing engine.

Step 1 — Upload

  • RFQ or item list — the customer's request for quotation or item list. Optional. PDF, Excel (.xlsx) and Word (.docx) files are accepted. As the dialog says: "Upload is optional — drop the customer's RFQ to auto-extract line items, or leave it empty to start blank and add them in the builder."

  • Short name — a name you will recognize the quote by, for example "Severn heating refit". Optional.

When a file is attached and you select Continue, Vertibid reads it and shows its progress — File uploaded, Extracting quote name, Identifying customer, Reading due date — then opens step 2 with the details prefilled. If the document cannot be read, step 2 opens for you to fill in the details yourself.

Step 2 — Details & template

  • Quote name — required for a blank quote; optional when a document is attached (leave it blank to use the document name).

  • Customer — search your customer list and select one. Optional. If the name read from the document matches an existing customer, the field says Matched. If not, add it as a new customer from the search results, choosing the region (UK, US or UAE) — the customer is saved to your Customers list — or select Use a one-off name instead to type a name without saving a customer. A quote with a one-off name carries no customer address, so the printed quotation has none.

  • Quote template — under Choose template. Each template shows its pricing method, currency and whether waterfall costing or the profitability layer is on.

  • PDF quotation — the document template. Defaults to your default template. If none exists, the field reads "No PDF quotation templates yet — create one under Templates"; the quote can be created but not printed until a document template exists (see C3.4).

To start a quote from a customer's request

Before you begin

  • You have the customer's request for quotation as a PDF, Excel or Word file.

  • At least one quote template exists; see C1.3 Before your first quote.

Procedure

  1. In the left navigation, select Quotes > My quotes.

  2. Select + New quote.

  3. Under RFQ or item list, drop the file or select the area to browse for it.

  4. In Short name, enter a name for the quote.

  5. Select Continue and wait while the document is read.

  6. On Details & template, check the Quote name and Customer and change them if needed.

  7. Under Choose template, select the Quote template and the PDF quotation.

  8. Select Create quote.

The quote opens on its Quote builder tab. Its line items are extracted and matched in the background; watch the progress on the Material Match tab, then review the matches (C2.6). On the Quotes page the quote appears as v1, status Draft.

To start a blank quote

Procedure

  1. In the left navigation, select Quotes > My quotes.

  2. Select + New quote.

  3. Leave RFQ or item list empty and select Continue.

  4. Enter a Quote name.

  5. Select the Customer, the Quote template and the PDF quotation.

  6. Select Create quote.

The quote opens on its Quote builder tab with no lines. Add lines from the catalog; see C2.3 The quote builder.
